Enhancing an HR System to Better Support Critical Business Functions

HR functions critical to business
This client is one of the nation's leading distribution and logistics companies, offering retailers its own line of private-label
products and various support services. With more than 50,000 customer locations around the world, the company services
businesses such as convenience stores, mass merchants, quick-service restaurants, drug stores and movie theaters.
In any service-oriented business, human resources is one of the most important assets of the organization. The ability to
attract, retain and reward the best available employees is a strategic advantage. Armed with this knowledge, the company
recognized the opportunity for improvement in its overall business processes supporting the human resource, benefits and
payroll functions.
How CPSG helped
CPSG worked closely with the client to implement its new HRMS/Payroll system in PeopleSoft v8.3, converting from a legacy
GEAC system. We provided functional and technical expertise in addition to project management for all aspects of the project.
The environment for the deployment is AIX-based servers on an Oracle 8.1.7.3 database. PeopleSoft modules include HR, Payroll
and Benefits Administration. To ensure the project progressed on schedule, we used facilitated sessions and rapid prototyping.
CPSG continues to support the deployment of the solution throughout the organization.
The company chose to phase the implementation by population, due to certain cultural issues. As a result, CPSG developed an
extensive conversion system to handle the complications that ensue from this approach.
Project challenges require intuitive solutions
During the user-acceptance testing phase, the client was purchased by another company. These mid-stream changes required
numerous modification requests, resulting in client resource challenges. For example, the Employee Stock Purchase Plan was
eliminated, and the fiscal year end changed as a result of the transaction. Fortunately, the CPSG Project Management Methodology
helped keep scope under control.
The project encompassed a total of 8 rollouts within approximately 20 divisions. To add to the complexity, some of the rollouts
occurred mid-period, meaning that information such as GL distribution, W2 accumulations and benefits contributions had to be
consolidated and reconciled between the legacy and new PeopleSoft systems.
Delivering the right results
CPSG helped the client determine a set of well-defined goals and metrics for enhancing its HR systems. By working closely with
the company to meet these goals, we helped the client achieve the following benefits:
- Ability to streamline and centralize core HR and Payroll functions, resulting in tangible cost savings
- Capability to absorb satellite systems into one comprehensive people database, resulting in a higher degree of data consistency and accuracy
- Increased flexibility in the deployment of incentive compensation programs
- Significantly increased insight into operational data
- Increased reporting capabilities
Selected enhancements and application extensions
